3 Quick and Easy Steps to Create Your Success

As Brick and Mortar Business Owners we have a lot to manage, and many times our efforts are wasted because we are not setting ourselves up for future success. We need to be super intentional with what we are doing today in our business, creating the system as we are doing the action so we can duplicate it next time easily - without having to scramble to find the list of details we need to make it happen.

Hey there everybody. Welcome back to another episode of brick and mortar visibility podcast. I am your host, Melissa Rose, and as always so great to be here. Thank you for putting me in your ears. Thank you for coming along for the journey because as business owners, it can be a lonely road. Right? Today is more of a tactical podcast. It is something where I want you to take action after this, or look at your back office systems and see what you can improve or delegate some time to work on it. Okay. Everybody. We are going to dive into setting yourself up for success. Your future self will so thank you. I want to preface this episode by saying I have been in business for 13 years. Many of those first years, I did not do these things. And I wasted so much time.
I did have people in my circle way back in the beginning,saying document, your systems. That just seemed so daunting to me. So I struggled with that. So if you are that person, I get it. I understand it is really hard to do, but I am going to encourage you to do it. And I'm going to share with you how to do it easily. In a pain-free way. I'm cringing, as I say it, cause either way, it's hard. Right? So I am a talker, so there's different ways to do this but I want you to start by first looking at your calendar. So grab that calendar and you are a business owner and the longer you are in business, the more documentation we have.
So every week, month, and year you're in business, you have more proof of what you have done and what works. And a great place to start is looking at that yearly calendar of what events do you have every year. And if you're not an events based business, like I am, maybe it's the seasons. We have Christmas every year on December 25th.
So do you do anything there? Do you do any sales? Do you do any special offers? Do you do promos? So go through the calendar and look at what happens annually. This is also a great time to see where you are really, really busy, or maybe you could move things around. For example, many of you know, I have a dance studio. September is crazy. Okay. But September is crazy for any parent because kids are going back to school and all the things are happening. Right. So we try not to add any more to the plate two weeks before September. Because we know that it's such a busy time for parents. However, we have to have our registration too. So we try to be super mindful of what's going on in the community and what's going on in our target markets life so that we can make it the best for them. So sometimes we realize, oh, that's just too much going on. We need to bring it earlier in the year in August or July, or we need to push it back to October or maybe move it completely to like February or March. So this is setting yourself up for success just mentally, right. And stamina wise. Okay. So that you are not burning the candle at both ends in September or December. Okay. So really plan out your year in your business to work for you. If you have a business where like mine, it kind of models after the school year, you can block out those school dates and just know that this is my time to, breathe and catch up and maybe this is where we put in these work days. When you're not working on your business and you have that time off from school with the kids, you can delegate a few hours to work on some back office stuff here, because I am going to tell you, this is where business owners lose the most time and money in their back office and this tactical episode of how to set yourself up for success will help you run a business, less stress filled. So look at the calendar and see where things are falling and if you can change any of it, do it.
Step two. If you struggle with creating systems, I get you. I understand it. However, Think of the time you will save if all the emails and all the marketing and all the timelines and all the contacts were in one folder. Doesn't that sound lovely, like okay. Christmas event, here's the folder. Here's all this stuff. Now some of you might be there and if you aren't, then don't listen to this episode.
But for most of us, this is where we struggle because we're in the moment of creating creation mode and we think, okay, I'll get to it later. And now it's later and you are scrambling to find, what did I say last year? What emails did I use? What graphics did we use? And nothing is together. And of course you're probably behind the ball because you're like, oh shoot, this, it needs to get out.
What did we do last year? So I want you to be set up for success. So take that time in your slower seasons in your calendar. And that's what it means to work on your business, setting yourself up for success. These are ways to work on your business. So maybe it's taking one event or one quarter and creating folders that make sense. For each event or things that are going on in that quarter.
Now, If you've done a past event, you can use that time to pull up the emails or the graphics or whatever you use, but maybe you're creating a new event. Maybe you want to add something new into your calendar for this year.
What I would do, and this is how I've done it in my business, so this is step three. When you're doing something new is I just create Google doc and I bullet point what needs to happen? And then I hand it off to my assistant and she fills it in, in depth. So that way, when the event is done, she then categorizes it and puts it in its place so that we can then use it for next year easily. So when people say work on your business . There are so many things you can do. But this one, setting yourself up for future success will save you so much time and money in the long run.
And doing it takes such discipline. You guys. I have a silly little story I want to share with you because this is a system that I have not documented. And it's putting my podcast from garage band to my software program where the podcast lives. I've changed the system. We changed the systems about six weeks ago.
So everything it's a little different and it's not hard. It's one little tweak for me, but can I remember it? No, because I do not document it. I'm like, what do I do. I'm like struggling here 20 minutes ago. And I'm like, what do I do to take it from garage band to here? I've done it like three times now.
And what did I miss? And I'm forgetting. And here's the thing, you know, the thing, we were like, press so many buttons and then you finally figure it out. And you're like, what did I just do? Right. Anybody? And then you will be like, oh, that's what I did. And you start to document it only to get a phone call that pulls you from focus and realize that's urgent.
And now I have that. Okay. So I get it. I get it. But we have to take the time, find the time and block it out so that we're doing it. And I do have it in like bold on my notepad here. What I need to do is, so I remember, so I just want to say that I understand taking the time to create the systems and set yourself up for success is time-consuming but it's so good to do so that when you're next year self is a little older and doesn't remember everything as easily and maybe you have a bigger team and you can outsource a little bit more. They will love it because they can pull from this document. You will love it because it's there for them and you are going to make it better because you're an amazing business owner. So everything you do is going to uplevel every year. But we need to start from somewhere. So look at your calendar, create the system. If you don't have it, create all the files, get everything together from past events that you're going to duplicate for this next year. And if you haven't created the file, start from scratch with just basic bullet points so that your assistant can help you fill it in.
And if you don't have an assistant, we need to get you one. That's your first hire that I want you to do. So until the. At least create a bullet point so that you can get it done.
Okay, ladies, I want you to have thriving businesses, but I also want you to have less stress in your business. And one way we do this is by creating systems so that you can run more efficiently and have that time freedom so deserved. That's why you went into business for yourself. All right.
